With immediate effect MSF OCA is looking for a Reporting Specialist / Executive Assistant to the Medical Director Public Health Department (10-month- maternity cover, 40 hours per week, based in Amsterdam) 

 

The Public Health Department (PHD) is responsible for providing strategic direction and integrated advice on medical and public health issues to project sites and country programmes, in cooperation with other departments in headquarters. The PHD plays a key role in developing and maintaining the medical humanitarian identity and image of MSF-OCA, and in continuing to develop and improve intervention strategies to be relevant and effective. 


The department is made up of a group of generalist Health Advisors and Health Programme Managers (based in Amsterdam, Nairobi and Berlin) and medical and public health specialists providing expert support in a wide range of fields: paediatrics, nutrition, water and sanitation, pharmacy, etc. 


The Manson Unit, a medical unit based in MSF-UK and part of the PHD, brings expertise on subjects such as chronic care and infectious diseases, epidemiology, eHealth and social sciences. In addition, the Manson Unit coordinates the operational research we do to assess the provision of healthcare in our projects and suggest improvements that will directly benefit the populations we serve, according to medical, ethical, and humanitarian principles. 


Job Objective 

The Reporting Specialist / Executive Assistant to the Medical Director is a combined role within the Directors Office, with an equal focus on reporting and executive support.  


In this 50/50 position, you will ensure smooth day-to-day support through agenda management, meeting preparation, meeting minutes, follow-up actions, and coordination of administrative processes. You will support the transition between the outgoing Medical Director and the incoming one, contributing to smooth onboarding. At the same time, you will be responsible for high-quality reporting, coordination, and documentation that support planning, accountability, and decision-making, while also providing proactive executive assistant support to the Medical Director’s office. A key part of the role is supporting planning and reporting processes related to the strategic plan as well as annual plans. You are also the main coordinator of the annual medical activities report.  As such, you help structure, monitor, and present information clearly and effectively.  


This role requires someone who combines strong reporting and analytical skills with excellent organizational ability, discretion, and a solid understanding of how MSF works. 


Main Responsibilities 

  • Provide proactive executive assistant support to the Medical Director’s office, including agenda management and coordination of priorities.  
  • Prepare meetings, take accurate minutes, track decisions and action points, and follow up on agreed actions. 
  • Coordinate and produce high-quality reports, summaries, and other documentation that support planning, accountability, and decision-making.  
  • Support planning and reporting processes linked to annual plans, budgets, HR and departmental priorities.  
  • Gather, structure, synthesize, and present information from multiple stakeholders in a clear and actionable way.  
  • Use Excel and Power BI to support reporting, data analysis, tracking, and presentation of information.  
  • Draft, edit, and format documents, presentations, correspondence, and other formal materials for internal use.  
  • Manage information flow and help ensure assigned tasks and processes are followed through in a timely and organized way.  
  • Maintain structured, accurate, and confidential electronic files, records, and supporting documentation in line with organizational standards. 
  • Support administrative processes such as approvals, coordination across teams, and general office follow-up.  
  • Build and maintain effective working relationships with relevant internal stakeholders.  
  • Contribute to continuity, clarity, and efficiency in office and reporting processes within the Directors Office. 

Key Deliverables 

  • High-quality reports, summaries, and briefing documents that support annual planning, budgeting, and decision-making  
  • Clear and well-structured reporting outputs using Excel, Power BI, and other relevant tools  
  • Well-prepared meeting agendas, minutes, decision logs, and action follow-up  
  • Smooth and well-organized agenda and meeting coordination for the Medical Director’s office  
  • Reliable administrative and reporting process follow-up  
  • Well-maintained files (including confidential), records, and documentation, in cooperation with the PHD department assistant and information management specialist 
  • Effective coordination and communication with relevant internal stakeholders 

Candidate Profile   

We are looking for a well-organized and proactive professional who is able to combine strong reporting skills with solid executive assistant experience in a complex MSF environment. 


You recognize yourself in the following profile: 

  • Strong experience in executive assistant, management assistant, or office coordination work, including agenda management, meeting preparation, and meeting minutes 
  • Proven experience in reporting, report coordination, or documentation support, ideally linked to annual plans, budgets, or performance tracking 
  • Extreme sense of detail and good sense of anticipation 
  • Excellent writing, editing, and information-structuring skills 
  • Strong organizational skills, with the ability to manage multiple priorities, deadlines, and stakeholders 
  • High level of discretion and ability to manage confidential information appropriately 
  • Good communication and coordination skills, with the ability to work across teams and functions 
  • Curiosity to understand MSF's medical operations 
  • Familiar with in Excel and Power BI 
  • MSF experience is a plus 
  • Strong command of English

  • A Dutch employment contract based on 40 hours per week. This is a 10-month contract to cover a maternity leave. 
  • A gross monthly salary range between €3,831 and €5,274 gross depending on relevant work experience, based on a full-time appointment.
